1. Introduction
The purpose of this Handbook is to give a solid grounding of information, Division structure, and links to resources that a senior officer in UCIP’s TrekOps Division will need. Please note that this document clarifies the internal TrekOps Division structure and does not violate the duties and responsibilities outlined in UCIP Divisional Powers Act.
2. TrekOps Structure

The Division Commander/Director, the Deputy Division Commander(s), the Fleet Commanders and the Deputy Fleet Commanders make up the TrekOps Division Staff, which works as a team to establish the collective Trek Universe environment created and participated in by the TrekOps Division SIMs. As per UCIP Organizational policy, both Division and Fleet Commanders may have multiple Deputies, but only one primary Deputy who will act in the Commander’s stead as Division or Fleet representative as the need arises. In the event of a Deputy being unavailable, the remaining members of the respective staff level are expected to cover the outlined duties. Individual teams may delegate specific duties as necessary or appropriate.
3. Job Descriptions
Division Commander
- Ensures the effective operation of the Division
- Lead Division by example in the best manner of a UCIP senior member, both IC’ly and OOC’ly
- Compiles a Quarterly Division Report, to be sent to trekops@ucip.org (Trek Announce) and staff@ucip.org (UCIP Staff) within one month past the Quarter, which includes the most recent Fleet Reports.
- Attends, or arranges a suitable representative for, any meetings or events in which TrekOps Division should be represented.
- Resolution of disputes pertaining to TrekOps Division which are unable to be resolved at the SIM or Fleet Operations, including enforcement of those resolutions as necessary.
- Ensures TrekOps IRC Channels rules are adhered to online and leads by example in following those rules.
- Owns and maintains all TrekOps Division maillists which are not owned and managed by Fleet Commanders or SIM Command Teams.
- Reviews this Handbook every 6 months and makes updates as necessary to reflect changes to policy/procedures with advisory from TrekOps Division Staff.
- Approves the Development Trials Requests for SIMs within TrekOps Division along with the respective Fleet Commander and UCIP President
- Approves changes in TrekOps Division SIM statuses, including making recommendations to the UCIP President regarding Full SIM requests.
- Appointment of Fleet Commanders in TrekOps Division.
- Approves/Coordinates TrekOps Division Plot proposals.
- Approves SIM Plot proposals which affect Division-wide SIMs and major In-Character settings
Starfleet Operations, OOC Oriented Deputy
- Approves Division-level Award requests and Senior Promotions requests of Commodore and Rear Admiral and equivalents
- Assists new Fleet Commanders in acclimating to the position.
- Assists in maintaining communication between Division Staff and Fleet Staff
- Regular updates of the TrekOps Division Website
Chief of Staff, IC Oriented Deputy
- Promotes use of TrekWiki (LCARS)
- Promotes use of trek-sim@ucip.org and educating members of TrekOps Division in their use
- Approves appointments of Trek Agency staff and ensures continued activity from current Agency Staff
- Works with Fleet Staff to coordinate Division Plots and Cross-Fleet Joint SIMs
Fleet Commander
- Ensures the smooth running of the Fleet
- Lead Fleet by example in the best manner of a UCIP senior member, both IC’ly and OOC’ly
- Compiles a Quarterly Fleet status report which is sent to relevant fleet-wide listserv and trek-command@ucip
- Attends or finds a representative for any meetings in which the Fleet should be represented
- Resolution of disputes pertaining to Fleet Operations
- Ensures Fleet IRC Channels rules are adhered to online and leads by example
- Owns and maintains all Fleet mailing lists and channels
- Assists in reviewing this Handbook every six months and advises updates as necessary to reflect changes to policy/procedures.
- Approves the creation and development of SIMs within the Fleet
- Appointment of all Commanding Officers within the Fleet
- Approves/Coordinates Fleet Plot ideas
- Approves SIM Plot proposals which affect Fleet-wide SIMs and major In-Character settings
- Updates TrekOps Division Command on relevant SIM information
Fleet OOC Oriented Deputy
- Promotes Communication between fleet command and SIM command
- Assists in training SIM Command Team members
Fleet IC Oriented Deputy
- Promotes use of Fleet resources
- Promotes use of Fleet IC listserves and educating members of the Fleet in their use, and seeking out promising individuals to assist in fleshing out the IC environment of the Fleet
- Works with Command Teams to coordinate Fleet Plots and Joint SIMs
Commanding, Executive & Second Officer
- Lead SIM by example in the best manner of a UCIP senior member, both IC’ly and OOC’ly
- Ensures a quality and fun environment for the SIMmers
- Approves/coordinates SIM Plots
- Regular active participation, and notification of crew and Fleet Command if expected to be unavailable for a week or more.
- Communicates regularly with the Fleet Command Team regarding their SIM
- Ensures a weekly or bi-weekly report is submitted, within one week after report period*
- Weekly Attendance/Log Count
- Plot Summary
- Updated Roster/Changes (Positions, Ranks)
*The CO is responsible for this, they are allowed to delegate, however, ultimately it is on the CO to make sure the report is on time and in, even if that means doing the report on the CO’s own.
- Ensures SIM Website is up to date and current
- Ensures the SIM’s UCIP Database Roster is accurate and up-to-date

Trek Division Channel Behavior Expectations
As a member of TrekOps Division, you are expected to be professional. If there is a Trek Division-related problem or incident, report it IMMEDIATELY to your Fleet Command so it can be dealt with in the most expedient manner possible through the Chain of Command. As a member of TrekOps Division, please remember that what you do anywhere in UCIP, regardless of whether it is related to your SIM and/or the Division or not, reflects back onto your SIM and/or Division.
Remember to treat all individuals with respect. If you feel for some reason that you are unable to do this, then please leave the channel until you are in a frame of mind conducive to respectful discussion.
Sometimes discussions in Division Channels can get a bit rowdy, as we do not have any type of channel ‘ratings’. However, if something gets to the point where you are feeling uncomfortable, then please inform one of the senior channel operators.
Trek Command will not tolerate individuals disrespecting other SIMs, Fleets, Divisions, Services Departments or members of UCIP within Trek Channels.
If any Trek member sees another individual in Trek channels behaving unprofessionally, they are asked to remind that individual of the rules of the channel even if that member of Trek outranks them in the chain of command. Nine times out of Ten, this will correct the problem. Please try to remove arguments about channel behavior and what is or isn’t appropriate to other channels. A log of all incidents resulting in removal from the channel or a ban, should be sent to the appropriate level Command List, following the Chain of Command.
If you have made what you feel is a reasonable request, and it has been ignored, please report it to the appropriate Command Team to be dealt with.

• Further ops are optional and are set up at the discretion of the Trek Division Commander.
• Please note that Trek Channel Op Levels only apply to Trek run channels. Channels outside of Trek, including SIM Channels, may have different Op Level rules.
